A template sounds like a template. This one uses what you know about the person, keeps the email short, and never adds a number or a name you didn't give it.

My formula: Compliment + Value + Request

I've sent hundreds of outreach emails, and this is the formula that works best:

  • Compliment: a specific compliment about their work. Find a post, an episode or a product that helped you, and say exactly what you liked.
  • Value: how working together helps them. Maybe they're promoting a new book or product, and you'd like to share it with your audience.
  • Request: keep it short and specific. Say exactly what you'd like them to do, why, and how it helps them.

Step by step, the email:

  1. Starts with a specific compliment about their work.
  2. Says why you're reaching out.
  3. Suggests what you'd like to collaborate on.
  4. Mentions the scope of your project.
  5. Adds social proof by naming others who are involved, if you can.
  6. Asks if they're interested.
  7. Ends with a direct, easy next step.

How I write outreach emails today

My method hasn't changed much since 2013. My emails have:

  • They're shorter. A few lines, no essay.
  • No compliment by default. I only add a personal touch when I have something real and current to say.
  • The social proof is the event itself. How many times I've hosted it, how many people watched, and a few names they'll recognize.
  • It's easy to say yes. A pre-recorded session with flexible timing, and a low-pressure close.

How we know the email is ready

Every email is checked in code before you send it:

  • Length: over 150 words is flagged. My invite today is about 90.
  • About them: flagged when it says more about you than about them
  • The ask: flagged when there's no clear question or next step
  • Brackets: anything left in [brackets] to fill in
  • Numbers: any number you didn't give it, so nothing made up goes out under your name
  • Spam words: the words people and spam filters distrust
  • Your detail: flagged when the thing you liked about their work isn't in the email

Subject lines are checked for length, capitals and spam words.

Follow up

Silence doesn't mean no. People are busy, especially bigger names.

I follow up about once a week. When a speaker has said yes but hasn't booked a time yet, I send up to 4 follow-ups, each a little more direct than the last, before I move on. Every email here comes with a short follow-up to send a week later.
