What is an email signature?
An email signature is the block at the end of your emails: your name, what you do, and how to reach you.
Your email app adds it to every message for you, so it's the one thing every person you email sees.
What to put in your email signature
A good email signature answers 3 questions: who you are, what you do, and where to go next. Here's what goes in it:
- Your name, and your pronouns if you share them.
- Your job title and company. One line, specific about what you do.
- 1 or 2 ways to reach you. A phone number and your website are enough, since they already have your email.
- Your photo or logo. A face for people who've never met you; a logo for a company account.
- Your social links. The 2 or 3 places you're active, not every account you have.
- 1 button, if you want one. "Book a call" or "Get the newsletter". One clear next step works better than 5 links.

Each template shows your own details as you type, so you pick from real signatures, not gray boxes. Each one is drawn with tables and inline styles, the only way every email app shows it the same:

Why images break in email signatures
Most broken signatures come down to 4 things:
- The image isn't hosted. Email apps show images from a link. An image pasted into the box can be dropped or counted against the size limit.
- The link is http. Apps block images that don't load over https.
- The format. Classic Outlook for Windows shows neither SVG nor WebP, according to Can I email. PNG and JPG show everywhere.
- The size. Gmail counts images toward its 10,000-character limit, and a wide banner overflows a phone.
The generator hosts your photo, logo and banner as PNG or JPG on https, at twice the size they're shown, so they stay sharp on high-resolution screens.
Your signature in dark mode
Many email apps lighten dark text in dark mode. Images stay as they are.
So a black logo on a see-through background can disappear. The generator checks your photo and logo for this, and adds a white backing to your logo in 1 click.
Email signature on your phone
Phone apps are pickier than computers:
- iPhone Mail takes a text-only signature. Use Copy as text.
- The Gmail app sends your computer signature when its mobile signature is empty. So leave it empty to keep your photo and links.
5 email signature mistakes
Most signatures that look off make 1 of these mistakes:
- Every social account you have, instead of the 2 or 3 you use
- A photo or logo attached to each email instead of hosted
- A long quote or legal note longer than the email itself
- 3 phone numbers, a fax and an address nobody visits
- A different signature on every device
Keep it short, keep it the same everywhere, and give people 1 next step.
