Length barely differs. The most-read get to the point in the headline, quote someone early, and say who's behind the news.

19 releases show a direction, not a rule. The generator follows it: about 12 words in the headline, the first quote by the third paragraph, and a boilerplate every time.

A release that got read

One of PR Newswire's 20 most popular releases of 2025 came from Jersey Mike's Subs, on April 10:

Jersey Mike's Subs and customers across North America rallied to raise over $30 million to help more than 200 local charities during the company's 15th Annual Month of Giving in March.

Its headline, "Jersey Mike's Subs Raises Record-Breaking $30 Million in March for Local Charities", is 12 words with the number in it. The lede answers who, what, when and why in one sentence.

The founder's quote comes in the fourth paragraph, and the whole release is 187 words.

The press release format

Every release follows the AP structure newsrooms expect:

  1. Headline: who did what, in about 12 words
  2. Subhead: why it matters, with the best proof
  3. Dateline: the city in capitals and the date, the AP way (AUSTIN, Texas, Oct. 14, 2026)
  4. Lede: one sentence with who, what, when, where and why
  5. Body: 3 to 5 short paragraphs of details, proof and availability
  6. Quotes: the first by the third paragraph, with the speaker's name and title
  7. Boilerplate: "About" your company, in the third person
  8. Media contact: a name, an email and a phone number

How we know the release is ready

Every release is checked in code before you send it:

  • Third person: flagged when it says we, our or I outside a quote
  • Numbers: any number you didn't give it, so nothing made up goes out under your name
  • Hype: the words reporters cut, like industry-leading, revolutionary and "excited to announce"
  • The quote: flagged when there's none, or when no one is saying it
  • The lede: flagged when the first paragraph runs over 70 words
  • Length: flagged under 150 words or over 600
  • The parts: a missing boilerplate or media contact
  • Brackets: anything left in [brackets] to fill in

It also lists what to confirm before you send: each speaker approves their quote, the numbers, the date and every name.

Quotes: plain words or finished

Tell it what your speaker would say in plain words, and it writes the quote in their voice.

Already have an approved quote? Put it in quotation marks and it's used word for word.

Either way, have each speaker approve their words before you send. It's their name on it.

Embargoes

Tick Under embargo, then pick the date, the time and the time zone.

The release opens with the embargo line in capitals, like EMBARGOED UNTIL 9 A.M. ET, OCT. 14, 2026, in place of "For immediate release".
